Plymovent Privacy Policy

Plymovent Group (Chamber of Commerce Reg. no. 37120476) and its subsidiaries (‘Plymovent’ in below document).

1. Introduction

Visible and invisible air pollutants are a serious hazard to your health. Numerous people around the world work with air pollutants like vehicle exhaust and/or welding fumes, oil mist and dust particles. Plymovent is committed to ensuring a clean, safe and healthy working environment for everyone.

That’s why we design, manufacture and supply products, systems and services all over the world for the extraction and filtration of polluted indoor air. We provide high-quality solutions to welders, metalworkers, firefighters, garage mechanics and many more workers at risk from a polluted workplace. Our products contribute significantly to a cleaner, safer and healthier workplace.

At Plymovent (hereafter also “we”, “us” or “our”), our commitment to Environmental, Social, and Governance (ESG) principles is the driving force behind everything we do. We’re not just talking about sustainability—we’re putting it into action, ensuring that our growth is both responsible and impactful.

That way of working requires openness, mutual trust and respect. Therefore, we take our responsibilities and the initiative to process the personal data we collect in the course of our business activities and other services from our employees, customers, vendors, website users and other stakeholders (hereafter also “you”, “your” or “my”) in a transparent, lawful, responsible and accurate manner for predetermined specific purposes, protected in an appropriate manner with technical and organizational measures and kept for no longer than strictly necessary.

Hereafter we set out the guidelines of Plymovent when processing these personal data and describe the rights of data subjects whose personal data are processed as shown in this privacy statement.

2. What personal data do we have and process?

Plymovent processes your personal data because you use our services and/or because you have provided this information, either voluntarily or as required. We use SAP Cloud for Customer (C4C) as our Customer Relationship Management (CRM) tool, where (business) data is securely stored. Although C4C servers are located in the United States of America and Germany, a EU Standard Contractual Clauses (EU SCC) agreement is in place to ensure full compliance with EU GDPR standards for data protection.

At any time, contacts have the right to opt out of communications or data processing activities, in line with their data privacy rights.

In addition, Plymovent uses Cobra SD Worx globally to manage employee personal data. Appropriate measures are taken to ensure that this data is handled in accordance with applicable privacy legislation.

Below is an overview of the personal data we can process:

  • Name and contact details: We collect first and last name, e-mail address, physical address, telephone number and other similar contact details.
  • Information about what products and services you have purchased, used or may have interest in.
  • Credentials such as username and password and the use you make of our website such as browsing behavior.
  • IP-addresses, MAC-addresses and other identifiers of users and hardware.

3. Why do we collect personal information and what do we do with it?

We process personal data about data subjects such as job applicants, client contacts, supplier contacts, website users and other stakeholders.

Plymovent processes personal data for a number of business purposes, including:

  • talent acquisition
  • research and development
  • sending our newsletter and/or other requested documents
  • to call or email you if necessary to carry out our services
  • cookie preferences
  • other purposes required by law or regulation
  • evaluate and improve (the performance and use of) products, services and websites.
  • evaluate and improve our business performance.

4. Do we make use of automated decision-making?

Plymovent does not use automated decision-making solely based on automated systems without human intervention on matters that can have (significant) consequences for data subjects.

5. On what legal ground do we observe to process and protect your personal data?

We process your personal data fairly and lawfully. In particular, we will not process personal data unless one of the following conditions is met:

A. The data subject concerned has consented to such processing; or

B. We need to carry out such processing:

  1. to perform, or take steps with a view to entering into a contract with the data subject concerned, or
  2. to comply with our legal obligation of us, or
  3. to protect the vital interests of the data subject concerned in a ‘life or death’ situation; or

C. We need to process this data to pursue our legitimate interests, provided that such interests do not override the fundamental rights and freedoms of the data subject.

6. How long do we process and store personal data?

Plymovent stores your personal data as long as it is necessary to fulfill procedures for which we collected the data or as long as is required by law. When we no longer need to keep personal data for the purposes for which they are held, we will destroy them as soon as practicable.

7. Do we share personal data with third parties?

We may pass your contact data, if applicable, on to partners representing Plymovent in order to provide the service and products you require. Your personal data will also be shared with third-party service providers contracted by Plymovent, such as transportation and installation companies. All our partners and third-party service providers are located either within the EU and thus bound to compliance with GDPR or outside the EU where different regulations might apply.

We engage third-party data processors who process your data on our behalf. These data processors are selected with care and are bound to agreements that secure your privacy interests.

Other third parties do not have access to the personal data we process. We do not sell or transfer your personal data to third parties. If we are under a legal obligation to disclose certain personal data upon request of a third party we will inform you where permitted by law.

Keep in mind that when surfing on our website it may be that you use plugins or cookies that allow third parties to track you. 

YouTube

Our website uses plugins from YouTube on certain pages. If you visit a page where we have included one of your YouTube videos, YouTube is able to track these video views. If you do not want this, please logoff from YouTube first.

Links to other websites

Our website contains links to websites of our partners and other websites, such as social media. We cannot be held liable for the content of these websites. We therefore advise you to read the privacy policies of these websites.

8. Which cookies or similar techniques do we use?

We use functional, analytical and tracking cookies. A cookie is a small text file that is stored in the browser of your computer, tablet or smartphone when you first visit this website. We use cookies with a purely technical functionality. These ensure that the website works properly and that, for example, your preferred settings are remembered. These cookies are also used to make the website work well and to optimize it. In addition, we place cookies that keep track of your browsing habits so that we can offer customized content and advertisements. On your first visit to our website, we inform you about these cookies and asked for your permission for their placement. You have the option to switch our cookies on and off.

Statistics

We collect statistics from amongst others Google Analytics. This information includes browser type, IP address, website behavior, operating program used and the domain name of the website that redirected you to our website. We use these statistics to analyze the browsing behavior of our visitors and to optimize our website for our users. The statistics are completely anonymous.

We also collect certain statistics when you read our e-mails. This includes information about the number of times a link is clicked in such e-mails. This information is used to improve our mailings and/or to analyze issues.

Our distributors can login to our extranet. We collect and analyze this login data.

SSL encryption

Our site uses SSL encryption for security reasons and for the protection of the transmission of confidential content, such as forms, requests, or messages you send via our website. This means the data you transfer to us cannot be read by third parties.

9. Can you view your data or have your data modified or deleted?

You have the right to view, modify or delete your personal data. In addition, you have the right to withdraw your consent to the data processing or to object to the processing of your personal data by us and you have the right to data portability. This means that you can submit the request to us to send the personal data of you that we have available to you or another organization mentioned by you in a computer file. You can send a request for access, modification, deletion, data transfer of your personal data, or a request to withdraw your consent or objection to the processing of your personal data to info@plymovent.com (subject: GDPR).

To ensure that the request for access has been made by you, we ask you to send a copy of your ID with the request. Make your passport photo, the machine-readable zone (the strip with numbers at the bottom), passport number and citizen number unreadable (e.g., by blacking them out). This is to protect your privacy. We respond as quickly as possible, but within four weeks, to your request.

10. How do we protect your personal data?

Plymovent takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. If you have the impression that your data is not properly secured or these are indications of misuse, please contact our Data Protection Officer by sending an email to info@plymovent.com (subject: GDPR).
